As we approach the upcoming membership renewal season, data quality and data protection remain key priorities for Irish Sailing and our affiliated Clubs. This month, we are focusing on the practical data requirements that Clubs can prepare for now. Getting this information right will help simplify administration, improve data quality and support GDPR compliance as the new Member Management System (MMS) is introduced.
Within the MMS, Irish Sailing and each affiliated Club will operate as independent data controllers. Clubs will retain governance over their local membership data, while Irish Sailing will oversee the national registry and Sport Ireland reporting requirements. Both Irish Sailing and Clubs are required to follow the principle of collecting the minimum personal data necessary for the relevant purpose. Accurate core identity information, including name, email address, phone number, date of birth and gender, will help maintain a single, reliable record for each member and reduce the risk of duplicate or incorrectly matched records. For example, having accurate identity information helps ensure that two members with the same name are not confused with one another or sent communications intended for someone else. Gender-related information is also required for Sport Ireland reporting.
We understand that Clubs may have questions about data access and sharing. The new MMS architecture has been designed around data protection by design and by default, with strict data partitioning so that each Club will only have access to its own local membership records. The upcoming membership affiliation period is a good opportunity for Clubs to review their registration processes and ensure the required identity information is being collected.

As the project progresses, Irish Sailing will share further guidance, including an extensive GDPR FAQ and a member data cleansing tool, to support Clubs through the process.
